The Easy Invite package makes it possible to create a link from which other people in the organization will be able to invite new respondents to a specific survey. By using Easy Invite you can create a link that enables other people to invite and add new respondents to an ongoing launch.
This could be relevant for ongoing sales meeting evaluations for example. Instead of getting a new target group file each time a meeting has been held, you can download the Easy Invite package. This allows you to send a link to the sales representative that enables them to add respondent data and send invitations without having to access Enalyzer.
Note: The Easy Invite package can only be used in combination with an e-mail launch.
Set up the Easy Invite package
1. Go E-mail launch menu, under the Launch tab, and launch your survey.
If you only want to use Easy Invite, then launch your survey without choosing a contact group.
If you already have some respondents that you want to launch your survey to, then create a new contact group and import your respondents before launching your survey.
2. After launching your survey go to the Download Packages menu, under the Launch tab, and click on Easy Invite button. A new window will open.
Select Launch: Here you can choose which launch you want to attach the Easy Invite page to. If you have several launches on your survey then you need to download the Easy Invite package for each launch.
Language: If you have created your survey in several language versions, choose which language version you want the Easy Invite to be attached to. This determines which language the respondent will receive the e-mail invitation in. Again, here you will need to download one package for each language.
Mandatory: Here you can see the three system variables that are required in order to be able to invite new respondents to your survey (first name, last name and e-mail). If you don’t have all of the information, i.e. only have the first name, then just put a dash (-) in the last name field.
Included: Here you can see the different background variables attached to this specific launch. For the people that have to fill out the Easy Invite form this information needs to be filled out before a new invitation can be sent. If you have launched your survey without choosing a contact group you can use hidden questions to create background variables.
The arrows facilitate the adding or removing background variables from the Easy Invite page.
Download: If you want to implement the Easy Invite page to your organization's webpage all you have to do is download the package and then implement it or send it to your webmaster. The Easy Invite package consists of one HTML file that can be implemented in a webpage.
Save in online file system: This allows you to create a link. When you have saved the file you’ll see the link that has been created. You can also find the link to in your online file system.
3. There are two ways of using the package, you can either implement it on your webpage (download the package and send it to your webmaster) or you can save it in the online file system and distribute the link.
Everyone with access to the link will be able to invite new respondents to the survey, therefore all you have to do is to forward the link to the relevant people.
When a person wants to invite a new respondent all they have to do is to go to the link, fill in the required information and click Send Invitation. When it says Invitation has been sent in the bottom of the page an invitation has been sent and it is possible to add a new respondent.
Tips and tricks to Easy Invite
Background variables: If you want to avoid that your background values are written incorrectly, you can create your background variables as a hidden single question at the beginning of your survey. On the Easy Invite page there will be a drop down menu where it's possible to choose between the different values from the single question.
The Easy Invite package will be deactivated if you delete the HTML file from the file system. As such, don’t delete the file (package) before you are sure that you want to deactivate the link.
The Easy Invite package is saved as an HTML file. You can change the design and layout on the page by changing the html codes.
Browsers: The Easy Invite page can be used in all browsers by copying the link from the file system and inserting it in the browser's address line. If you want to download the package, the file cannot be opened directly in Internet Explorer. In case you want to use the downloaded package in Internet Explorer you will have to access it through the company’s own web server. If you save the package online there are no problems with using Internet Explorer.
Every time you download or save the Easy Invite package an Access key is created. You can see the access key under My Account and Access keys. If you delete the access key the package will be disabled and it will no longer be possible to send new invitations from the Easy Invite page.
