5.6. Auto export

The Auto export function allows you to send yourself and/or a colleague an automatically generated raw data file.

The Autoexport function can also be used if you want to see the date and time of your respondents' answers. The Autoexport enables you to see the specific date where the respondent has completed the survey.

You can use the Autoexport function to send daily e-mails with the latest answers instead of accessing Enalyzer and doing a manual data export.

How to set up the Auto export function?

Go to the Search/Respondents tab, under the Launch tab, and create a search, e.g. on respondents with status: completed. If you want the search to include all respondents then just click Search without filling in any search criteria.

After creating your search, go to the Export menu and click on the newly activated Auto export button. A new window will open.

Status: To turn on the function, set the status to Enabled.

Test: Here you can test the autoexport settings.

There are six tabs, Export OptionsData optionsScheduling, Export MethodNotifications and Log.

Export options: Here you need to set up which answers should be included in your Autoexport. You can choose between Latest answers only, From specific date and All answer data.

If you choose Latest answers only the export will only include data that has come in since the last Autoexport.

As a standard setting the Autoexport will include data from incompleted questionnaires. If you don't want to include this data, remove the tick from the box.

Data options: Here you can choose which data the Autoexport should include. You can specify the Output format, CSV or SPSS, and can also choose to include Open Answers and/or questions.

You can also select to export the data from a specific launch or all launches.

Finally, you can select the Standard Data or the User defined.

Tip: To include the date of your respondents' answers tick off the box: Extended Respondent data.

Scheduling: Here you can specify the frequency of the autoexport function. The frequency can be set to: once, monthly, daily, every weekday or once a week.

Export method: You can choose between two export methods: FTP or E-mail. If you choose e-mail you'll receive an e-mail with a raw data file in .csv format.

Notifications: Enter an e-mail address where notifications will be sent to, such as error occurring. You can type in multiple email addresses - just separate them with semicolons.

Notice: If you tick off Send on failure only you will only receive a notification e-mail if the function fails to send out invitations.

Log: This is the autoexport log where you can follow your autoexports. For example, you can see which exports have been completed, if the export has failed or other problems to this effect.
