3.1. Contacts

Contact groups only need to be created once and they can afterwards be used in all your projects.

To create a contact group go to the Launch tab, and select Contacts under the Email Launch menu. A new window will open.

 

Select Contact group and a new window will open.

Name of Contact Group: Add a name for your contact group.

Information: Here you can select the different variables to be registered on the respondent, e.g. address, company, telephone, etc. In order to add information to the existing information, click the Add button.

Existing information: There are three predetermined variables First Name, Last Name and E-mail. If you wish to delete a variable, select it and click the Remove button.

Add information: Here you can add new variables by typing the name of the information (variable) in the text field. Then click the Create New button to transfer the new variable to the existing information box.

Click OK and the new contact group will be created and appear in the contact tree.

 

Tip: If you need to import a range of background information you do not have to create them in advance. The system will automatically find the data in your import file, which you can also choose to be imported.

Note: All contact groups automatically get added to the variable language, if there are several language versions set up. In this column you must indicate which language version the respondent needs to have their survey in.

 

Import contacts by using .csv files

Usually you need to import many respondents at a time. You do this by creating an excel file with all the information of your respondents. When you create this, there are a few rules to follow to be able to import the file to Enalyzer. 

First of all, there must always be three columns including the headings Firstname, Lastname and Email. If you do not have the information for the heading you still need to create the columns, however instead of leaving the rows empty insert a dash ( - ).

Note: I have added Language as a variable, this means that if I have five different languages I am able to send out an invitation in Swedish, not having to let the respondents change the language themselves. Be aware of the language codes used in the system for each language.

Background variables

If we follow the example set above, we can see the background variables Country and City have been added. This allows for the creation of reports grouped by country, for instance creating a report showing all the countries' mean response to each question in the survey.

Import respondents

After creating the list of respondents, you should create a contact group that you wish to launch to (follow the steps above). Save the excel file in the format .csv (commaseperatedfile).

 

Using a MAC? Your .csv file needs to be saved in the following format:

English Excel: Windows comma separated (.csv)

Danish Excel: Windows semikolonsepareret (.csv)

 

Select your contact group in the contact tree and click Import button. Choose the .csv file and you are now set to launch!
